This tutorial describes how to use Excel Sharing from an end-user perspective.
If you or your server administrator haven't set up BadBlue to share Excel
spreadsheets yet, please see the Share Excel Spreadsheet Files
setup tutorial. This tutorial assumes that either the folder or the search tab is
sharing at least one spreadsheet.

Note: BadBlue Personal Edition includes a preview of nearly all of the Excel
sharing features. You'll notice, however, that Personal Edition is limited in the
size of the spreadsheet it will display (larger worksheets will have asterisk - *** -

Step 1
Click on the Folders tab, then click on the folder that contains the
spreadsheet you wish to view or update.

Step 2
To view the spreadsheet in your browser, click on the Live View link (not the
file name).

Step 3
The spreadsheet will appear in a new browser window.
|

Step 4
The browser's view of the spreadsheet is about one page at a time.
To move through the spreadsheet, you can:
- use the arrow keys on the keyboard
- or click on navigation arrows near the top left of the page
|

From left to right, the navigation controls are:
Move left one page, move right one page, refresh the page, move up one page,
and move down one page.
You can also go to any random cell in the spreadsheet
by entering the cell in the Go to cell box and pressing the Go button.
You can also press the G key to
perform a 'Goto'.
The Find button supports both find and, if desired, replace capabilities. This
button is described in greater detail, below. You can also press the F key to
perform a 'Find'.

Step 5
You can change the browser's display of the spreadsheet page using the
display controls (at the top right of each page). From left to right, the
controls are: Workbook - the tab number of the spreadsheet that should be displayed;
Columns - the number of columns to display at a time; Rows - the number
of rows to display at a time;

Display Width - the width of the page compared
to the browser window's size.

Step 6
To change the value of a cell, you can:
- Use the arrow keys to highlight the cell, then press the
[Enter] key when the cell is highlighted
- or simply click on the cell
Make your changes in the small editor window, and
then press the OK button (or press [Enter]. Note that you must have Update permission to make
changes. The cell will change color after you edit it so that you can see
which cells have been changed.

Step 7
After editing one or more cells you can save your changes and recalculate:
- press the S key
- or click on the Save Changes button at top right.
If there is a conflict with
another user's changes or a permission problem, a warning message will appear
at the top of the page.
Otherwise, your changes will be saved to the spreadsheet!

Other Useful Features
Using arrow keys to move through the spreadsheet
Use the arrow keys to highlight a cell of interest. You can press the [Enter]
key to edit the cell. Or you can click on a cell to begin data-entry.
Make the changes to the cell in
the popup window, then press the OK button (or press [Enter]).
When you've completed your changes, press the S key or click the Save
Changes button to save your edits and recalculate.

Finding information in cells
Press the Find button or press the F key. A popup window will appear.
|
Type the text you would like to find (including numbers, dates, etc.). The case does not need to match for the find operation to work (e.g., "Trent" will match the cell text "TRENT"). Leave the text box blank if you would like to find the next empty row
Type the column in which the text will be found (e.g., "B")
Then press the OK button
If the text is found, the window will move to the row with the matching data.
If the data is not found, the window will simply redisplay the current position.

Global Search-and-Replace
Press the Find button or press the F key. A popup window will appear.
|
Type the text to be replaced exactly as it appears; the case must be correct for replacement to occur (e.g., "Trent" will not match the cell data "TRENT")
Type the column in which the text will be replaced (e.g., "B").
Check the Replace all with checkbox
Type the replacement text
Then press the OK button
The number of items replaced will be reported at the top of the window after the operation completes.

Reminder: if you want to allow users to update spreadsheets (not just view them),
remember to click the Allow updates checkbox at step 6 of this
tutorial.

To allow only Live Views - and no downloads of the spreadsheets:
1) Click on the Manage tab
2) Click on the Setup Search tab link
3) Change the Live View settings to "Allow only Live Views"
4) Press the Save Changes button
You'll need to exit BadBlue from the system tray and restart it for
this change to take effect.
